Job Purpose:

 

The Commercial Assurance Team has a requirement to support the business with Contract Administration services across the 3 DNOs. To facilitate this, the team need to undertake a verification process, requiring the raising of Purchase Orders for works undertaken and completed by the Contractors and make the necessary payments for those projects.

 

This process will also entail the approval of the Contractors Applications for Payment against the SOR Contract Obligations and Inclusions, furthermore the Rejection of disputed costs that do not align with the Contract Particulars.

 

The approval process will include the production of Commercial data reporting to include the preparation of Payment Trackers / Team Value /Dispute Reports and Rate Usage Reports.

 

Dimensions:

 

  1. Process Delivery from initial Fault Request Sheet through to Payment in line with the Commercial process adopted across the 3 DNOs
  2. Providing administration support to the Commercial Services Team and administering the process generally.
  3. The job role will initially be focussed on the administration of these processes but may be expanded to cover other Contracts after approximately six months.

 

Principal Accountabilities

 

The Commercial Administrator Team Member will work within a team of Technical and Commercial Assistants spread across several locations and will be responsible for carrying out the following activities:

 

  • Receiving and analysing all information from Contractors to determine payment amounts due to Contractor, in accordance with the terms of Contract.
  • Maintaining detailed records and calculations to provide an audit trail of applications for payment and payment certificates processed, using SAP as the basis of the data to produce concise and informative commercial performance reports.
  • Interrogation of claims for payment using Power On and Contractor’s Work Management Systems.
  • Raising and processing Purchase Orders using SAP and WormS.
  • Assisting with Green Lighting and Goods Receipting agreed Invoices using SAP.
  • Providing Commercial support to all UKPN staff.
  • Liaising with Contactors and Internal UKPN Staff to ensure Contracts are followed correctly and operatives follow guidelines.
  • Ensuring compliance with policies and procedures.
  • Providing regular feedback and commercial reports to the Commercial Manager, Agents, Operations Manager, Field Engineers and Field Staff Supervisors.
  • Liaising with Field Engineers and Staff Supervisors to resolve payment queries and issues.
  • Supporting the investigation of customer complaints.
  • Demonstrating and promoting UK Power Networks’ vision of becoming an employer of choice, a respected corporate citizen and to work in a sustainably cost-efficient way.

 

  • In addition to the above, the applicant will also be required to carry out storm role duties during system emergencies.

 

Nature and Scope:

 

As the Commercial Administration Team Member, the job holder will support the Commercial Process, ensuring that costs are monitored and payments are made in accordance with the Contract conditions. The team’s newest member will need to be located within the LPN footprint but would be expected to support all 3 DNO’s.

The person appointed will be commercially aware, have good analytical skills, process knowledge and a basic understanding of the technical requirements for the delivery of both groundworks and reinstatement contracts. They must have good communication, influencing and leadership skills and will be a strong team player.

The person carrying out this role will be someone who can demonstrate a good knowledge of relevant administrative and business processes in a fast-moving environment.

 

Knowledge, Skills, Qualifications and Experience:

 

  • A basic understanding of the Electricity Network and the various types of jobs undertaken would be an advantage but is not essential
  • A detailed understanding of the contracts
  • Experience working as part of a team, taking responsibility for the delivery of the key objective to manage the Commercial process.
  • Numerate and able to communicate financial and commercial issues
  • A good knowledge of Excel
  • Ability to work in a pressured environment as part of a highly focused team
  • Good level PC literacy, with the ability to learn and use a variety of systems with fast and accurate keyboard skills
  • A knowledge of SAP would be an advantage
  • Flexible attitude to work and working hours
  • Self-motivated, with a strong drive to succeed
  • Ability to build good working relationships with other staff and other teams within UK Power Networks and external Partners
  • Good communication skills
  • Good organisational and problem-solving skills
