This Personal Assistant will report to the Director of Asset Management and will work within Asset Management based in our London, Elephant and Castle office. You will be a permanent employee.

You will attract a salary of depending on your experience and a bonus of 7.5%.

Personal Assistant

As the Personal Assistant, you'll provide high‑quality, proactive and confidential executive support to Directors within an energy organisation. The role is pivotal in enabling the Directors to operate effectively by managing complex diaries, communications, governance activities and administrative processes, while acting as a trusted point of contact for senior internal and external stakeholders. The post‑holder will be based in London and will manage competing priorities across multiple Director portfolios, anticipate business needs, and ensure the smooth and efficient running of Director offices in a highly regulated, safety‑critical environment

Principal Accountabilities:

  • Provide comprehensive executive support to three Directors, ensuring the effective day‑to‑day operation of their offices
  • Manage complex and frequently changing diaries, scheduling internal and external meetings, prioritising commitments and resolving conflicts
  • Act as a first point of contact for the Directors, handling correspondence, calls and enquiries with professionalism and discretion
  • Prepare, proof‑read and format high‑quality papers, presentations, reports and briefing materials for executive, regulatory and governance meetings
  • Coordinate and service senior‑level meetings, including agenda preparation, circulation of papers, minute taking and tracking of actions
  • Arrange domestic and international travel, accommodation and itineraries in line with company policy
  • Support governance and compliance activities, ensuring key actions, approvals and deadlines are tracked and met
  • Manage expenses, purchase orders, invoices and budget tracking in line with financial controls
  • Build effective working relationships with senior leaders, Executive Assistants, and key internal and external stakeholders
  • Maintain accurate and well‑organised electronic filing systems, ensuring information is easily accessible and securely stored
  • Support cross‑directorate projects and initiatives, undertaking research and coordination activities as required
  • Provide flexible cover and support for other Personal Assistant during periods of absence or peak demand
  • Provide support for CEO's Executive Assistant when required

Nature and Scope:

The role operates in a fast‑paced, complex environment with significant exposure to senior leadership and sensitive information. The Personal Assistant must balance the needs of circa three Directors, often with competing priorities, and exercise sound judgement, confidentiality and initiative at all times.

Skills, qualifications and experience:

Essential:

  • Experience providing executive or personal assistant support at Director or senior leadership level
  • Recognised Personal Assistant qualification
  • Experience supporting multiple senior stakeholders simultaneously
  • Exceptional organisational, planning and prioritisation skills
  • Communication skill, both verbally and written
  • Confidence working with senior leaders and handling confidential information
  • Advanced Microsoft Office skills, including Outlook, Word, PowerPoint and Excel

Desirable:

  • Experience in the energy, utilities or infrastructure sector
  • Familiarity with governance processes, board or regulatory environments * Experience using enterprise systems (e.g. SAP, SharePoint or similar)
